Effective communication is a vital factor which determines work success. Communication is used to convey ideas, get work done and to recognize for the effort made. Different forms of communication include verbal communication and nonverbal communication. Verbal communication includes face to face conversations, meetings, email and voice chats, memos, letters and reports. Non verbal communication includes pictures, company logos, gestures and body language. Business communications vary with purpose, audience, information, organization, style, document design and visuals.
The purpose of business communication is to meet the various organization needs. The audience can be people who are internal or external to the organization. The audience will pay attention only if they feel the particular subject is important, interesting and relevant. The main point should be projected highlighting the purpose of the message. The style of business communication should be formal and friendly. The document should be designed in paragraphs with fixed spacing between lines. Graphs charts and other visual help can be included to convey the message more effectively.
Internal audience includes people in the same organization like subordinates, superiors and peers. External audiences are people outside the organizations which include customers, suppliers and government. When it comes to business communication, informal listening, speaking and working in groups are as important as formal documents and presentations. Communication in an organization serves the purpose to inform, to request and to build goodwill.

Clear-The meaning that the writer intended should be received by the receiver.
Complete-The reader should have enough information to understand the message.
Correct-The message should be free from errors, spelling mistakes, grammar mistakes.
Takes less amount of reader’s time-Should take minimum time for the reader to understand the message.
Build goodwill-the message creates a positive image about the writer and his organization.
Understanding the situation is important for effective business communication. The message should be framed considering the view point of the intended reader. Messages which consider the views and feelings of the audience are found to serve the purpose more effectively. The channel adopted for communication is as important as the message. Business communication messages should always showcase a positive attitude.
